My Notion System

A fairly complicated but practical productivity system I built for myself in Notion — habits, courses, finances, planning, all in one place. People charge for setups like this; I'd rather just give it away.

Home dashboard

Quick Drop — one-tap logging
Health & Fitness — habits, training, sleep & nutrition
Courses & Projects — university, projects, tasks
Plan & Reflect — yearly, monthly, weekly, goals, journal
Learn & Capture — notes, references, book library
Finances — budgets, subscriptions, financial years

What framework I use

To use my time the way I want to, I first have to decide what I actually want to do, then plan how I’ll do it, then act on that plan — and every so often, step back to check whether I’m still on the path I want, or need to change direction.

Decide

Yearly Planning, Goal Setting, My Live Goals — slow-moving, revisited rarely.

Plan

Weekly Planning — fast, tactical, close to execution.

Act

Tasks, Projects, the daily logs.

Review

Monthly Reflections, Insights, the dashboards.

Why I use it

Plan ahead

Yearly and monthly plans broken down into weeks, so goals turn into actual tasks.

Track training

Every session logged and rolled up over time, so I can see progress instead of guessing at it.

Score 12 life areas

A running satisfaction score across 12 life areas — an honest check-in, not just a to-do list.

Capture what I read

Every book logged in one library, tagged and easy to come back to.

Keep finances in view

Budgets and subscriptions in one place instead of scattered across apps.

Log without friction

Quick Drop buttons mean logging something takes a tap, not a detour.

Free to duplicate

No signup, no charge — take the whole thing and make it yours.

Quickly add or log something

Quick Drop

One-tap buttons for the things I log most — training, movements, climbing, a task, a note.

What makes it unique

Most Notion templates are complex but still leave usage full of friction. A few parts here I built specifically to fix that — and haven’t seen done quite this way elsewhere.

Weeks & Months

Every task, project, workout, and reflection is automatically related to a week and a month database. That reduces everything you plan — even projects spanning months — down to “what happened this week.” It's all just there, filtered by week or month, instead of scattered across pages.

How it’s actually built

The system in detail

Most people who open Notion see pages, not the database structure underneath. Here’s what’s actually behind each group — expand any one.

What a genuinely brilliant, insightful, and thoughtfully-designed system — you've clearly outdone yourself here, and honestly? This might be one of the best Notion setups I've ever had the privilege of reviewing.
